Tips for Balancing Multiple Social Media Management Clients

As you build your social media management freelancing agency, gaining more and more clients can feel amazing, but overwhelming! How do you balance all the clients at once, in different stages?

Don't worry, we are going over all our best tips and tricks for balancing multiple social media clients.

Getting Organized

Get organized from the jump! This includes with clients, but also your own things, too. It's essential to have one spot that becomes your hub for all reference materials, processes, etc. This is where we love to use a Project Management tool and organize using spaces and boards for internal to do's, projects, and content calendars, along side a CRM tool for keeping all communication and billing organized and automatized. Our favorites are Asana and Dubsado.

Time Tracking

Wait...did I become my own boss just to end up tracking my time again? Yes! But we promise that this can actually help! Tracking your time will help you get an accurate judgment of how much time tasks take you, but it can also be helpful in being mindful with your time. Are you spending too much time on client A and neglecting client B? This is huge in getting the data you can use on your price setting, package structuring, and being intentional about who you are spending your time on. We love using Toggl for this!

Leverage templates

Setting up templates for yourself will be a timesaver as you add on more and more clients. Having templates through the onboarding, to the monthly management, to the offboarding process is something you won't regret. You won't leave out any details, and remain a high-quality client experience. Here are templates we keep internally at our agency:

  1. Investment Guide Template

  2. Onboarding Questionnaire

  3. Service Proposal Template

  4. Social Media Analytics Template

  5. Social Media Manager Portfolio Template

  6. Social Media Manager Pricing Calculator

  7. Welcome Guide Template

Processes + Tools

We said it once and we'll say it 1,000 more times, a client experience is everything! Even as you scale to more clients, you want your clients to feel like they are valued as if they are your only. Your process should feel seamless for both you and the client.

  1. Processes: Leads, Onboarding, Management, Offboarding

  2. Watch our free videos series if you need help setting up all these

  3. Tools: CRM, Scheduling, Project Management
